Import eForm Data / Records

Files can be imported from other applications / legacy systems directly into the eBMS Business Management System.

Important Note: Make sure the file you wish to import is set up in a logical column array that can be mapped for import.

eBMS Tip: It is Highly Recommendeds that you back up your eform data / records before you import new files into the database.

Step 1 Click on the Control Panel tab.

Select Import eForm Data.

Result: A new window for selecting file is shown.
 
Step 2 Select eForm name from the drop down list e.g. Accident & Incident.

Press the Browse button to select an Excel file.

Press Upload button to upload Excel file into system.
 
Step 3 The file string (excel file) is highlighted and the relevant fields appear in the right hand side panel. Left hand side panel is filled by all the controls in the selected eForm.  

If you click AutoLink eBMS will try its best to match the input data fields from the excel file with the input data fields from the eForm.

Alternatively, if you are wanting to do this manually you can select a value on the left along with the matching value on the right followed by clicking the Link button.  A Link can be deleted by selecting the link on the left and clicking the Delete Link button.

An example of completed links in the left hand side will look as follows:

eFormID - - > eFormID
value1 - - > name
location - - > location


Once all desired links for import are ready click Continue to Validate to execute and complete the import.
 
Step 4 This will lead to the next screen on which user can see list of errors (if any). If errors exist, then user can decide whether to proceed or not. If Errors do exist then users can click Back button and start the import procedure all over again. Otherwise user can click on Import button.

Note: If eFormId control is used to link into Excel file and that eFormId already exists in the eForm, then the record of that eFormID will be updated. Otherwise, a new record is created
